How to protect an Excel document for opening or modifying.

Have you finished your Excel report and want to protect it from prying eyes? Or don't want it modified? You can use protection options already integrated with Excel.

There are a few levels of protections:

  • Open document - password is required when document is opened
  • Modify document - if correct password isn't given you can't modify the document (but you can see information)
  • Protect a sheet
  • Protect a workbook

To ask a valid password when document is open you can use Save... or Save As... dialogs and set up a password (shown for Excel 2000):

You can set up a password for opening document and another (could be the same or not) for modifying it:

Then passwords should be re-entered for confirmations in separate dialogs, after you press OK button.

Whenever someone wants to open the document they have to provide correct password. Otherwise they can't open it. If second password is set up, it should be given, if you want to save changes. Users have the option to open the document read-only (they can see values but can't change them).

To protect only one or more sheets you can use option available from menu at Tools | Protection ... | Protect Sheet. When a password is set, users can't change the sheet, until they unprotect it using correct password. You'll see this dialog:

In the same place (Tools | Protection ... | Protect Workbook) you have the option to protect the workbook. When you set up a password users can't insert or delete a sheet.

To unprotect all these options you can delete the password (set to empty).
